Privacy Policy

When you use Ekome, some personal information is collected from you. However, the product has been designed so that the information collected is minimal. This Privacy Policy describes what is collected, how it is used, how long it is kept, and what control you have. It may be revised from time to time. Your continued use of Ekome signifies your acceptance of the terms of this Privacy Policy.

Information collected

Account. When you sign in we receive your name, email address, and a sign-in identifier. We do not receive your password.

Voice recordings. Audio you record in the app. Transmitted over an encrypted connection. Deleted from our servers according to the audio retention setting you choose. The default is 24 hours after transcription. You can also choose immediate deletion, 7 days, or keep until manual deletion.

Transcripts and derived content. Text transcribed from your voice recordings, plus any drafts Ekome produces from them (notes, email drafts, posts, and so on). Kept for the lifetime of your account or until you delete them.

Preferences. Your language, audio retention setting, opt-ins for periodic surfaces, and which third-party tools you have connected.

Operational data. Standard server logs (IP address, timestamp, request path, response code) kept for a short period for security and debugging. We do not associate logs with the content of your entries.

What we do not collect

• We do not collect your contacts, calendar, photos, or other device data.
• We do not run analytics that profile you.
• We do not fingerprint your voice or use it for biometric identification.
• We do not infer race, religion, political views, health conditions, or other special categories from your entries.
• Ekome is not intended for users under 16. We do not knowingly collect children's data.

Service providers

For processing your audio and producing transcripts and drafts, Ekome uses third-party AI and speech-to-text providers. This data is transmitted between Ekome and those providers during processing. Your data is not used to train their models.

For sign-in, Ekome uses Google sign-in. We receive your name, email, and a sign-in identifier. We do not receive your password.

For hosting and storage, Ekome uses third-party cloud infrastructure providers. Audio and database content is held encrypted at rest.

For sending you transactional email (sign-in confirmations, export-ready notices, account deletion confirmations), Ekome may use a third-party email service. Your email address is stored within their systems for delivery. Ekome does not send marketing email.

For optional third-party integrations (e.g. Notion), data is shared only when you explicitly connect them. When you connect a tool, we store an authorization token in encrypted form so we can send your finished content to that destination on your tap. We do not read from or write to your account on those services beyond what you authorized. You can disconnect any integration at any time from Settings; the token is deleted immediately.

Audio retention and deletion

Audio retention is the most important privacy control we offer. The default is 24 hours from successful transcription, and you can change it any time in Settings. Options:

• Immediate. Audio deleted the moment transcription completes.
• 24 hours (default).
• 7 days.
• Keep. Audio retained until you delete the entry or your account.

Deletion runs automatically. We do not keep a hidden archive of recordings you intended to remove.

Use of information

The information collected is used to provide the service you have signed up for, to keep your account secure, and to improve your experience inside the app.

Crisis-language safety

Every entry runs through a classifier that looks for crisis-indicative language. When triggered, Ekome shows you regional helplines rather than producing a draft. Future entries from your account that match the same pattern are paused from any return surface unless you explicitly resume them. Ekome is not a therapist or a clinician. See Terms § Safety.

Data retention, deletion, and export

You can do all of the following from inside the app, without writing to us:

• Access every entry, transcript, and draft at any time.
• Export a full copy of your data (entries, transcripts, drafts, marked dates, preferences) as a single archive.
• Correct transcripts and drafts. Delete individual entries.
• Delete your account. We retain your data for a short grace period (so you can recover from an accidental deletion), then permanently purge audio, transcripts, drafts, and account data.
• Mark an entry private. A private entry is excluded from all return surfaces.
• Mark a date "do not surface". Anniversary detection skips dates you flag.
• Disconnect a third-party tool to revoke its token immediately.

If you would like to receive any other data related to your account, please use the in-app feedback option requesting the same. Your request will be completed within 30 days of the confirmation of its receipt, provided the data requested does not infringe on the privacy of other users.

Security

Audio and content are encrypted in transit and at rest. Sign-in uses widely adopted authentication standards. Authorization tokens for any third-party tools you connect are stored encrypted.

Children

Ekome is not designed for or directed to children under 16. If we learn that we have collected data from a person under 16 we will delete it promptly. If you believe a child has signed up, use the in-app feedback option.

Changes to this policy

We may revise this policy. Material changes will be flagged in the app at least 14 days before they take effect. The "Last updated" date at the top reflects when the policy itself last changed.
